Organisation Units and Groups are how users are sorted and organised within Form LMS. They aren't mandatory, so you don't have to use them. However, they have a few useful functions to make things easier for admins. When you invite users to your workspace, either individually or in bulk, you will be given the opportunity to allocate them to an Organisation Unit and/or Group.
Organisation Units and Groups are separate entities but work similarly. For example, you can assign auto-enrol targets and workflows against both (learn about Auto-Enrolments and Workflows).
The difference between the two is that Organisation Units are tiered, and Groups are not. Also, you can be a member of multiple Groups but not multiple Organisation Units. For example, you can use Organisation Units to reflect the actual structure of your organisation, so you can have a department, and within that department, you can have some teams—each branch can have up to 6 tiers. In the example below, Departments and Teams are all Organisation units.
Groups, on the other hand, sit separately. They aren't tiered, which means they are independent of each other and don't branch out. They can be used with or without Organisation Units. For large organisations with many employees, groups can be used in addition to organisation units to help map employees across the business. For example, Organisation Units can be used to identify users by department, while Groups can be used to identify users by their roles.
The flexibility offered by Organisation Units and Groups means they can be scaled to any organisation of any size. Smaller organisations might find they don't need the complexity of many branches, so they can use Groups to quickly set up a way of grouping employees. Large organisations might need the complexity of Organisation Units to group and classify their users across their many areas of the business—helping admins make informed decisions relating to enrolments or reporting.
